This is the policy for the Nexus web app and site. It is written to match how the product actually works. It is not legal advice. If you need a lawyer to review it before you take paying customers, get one.

When this policy says “we,” it means that operator. When it says “company,” it means a customer organization in the app (a manager’s portfolio). When it says “you,” it means a person using the site or the app — manager, dispatcher, field technician, or tenant.

What Nexus is

Nexus is a maintenance desk: requests, dispatch, field updates, photos, and invoices for a small rental portfolio. It is not a full property-management system, not an emergency service, and not a consumer social network.

What we collect

Account and company

  • Name, email, password (stored as a hash — we cannot read the password)
  • Role in a company: Manager, Dispatch, Field, or Tenant
  • Company name, join code, plan, and unit count
  • Properties, units, vendors, crew list
  • Work orders: category, priority, status, notes, time on site, blocked reasons
  • Invoices drafted from that work log
  • Preventive-maintenance schedules
  • Optional company and unit counts if you use the contact form

Photos

Photos attached to a request or a job are compressed on the device and stored so the company can see what was reported and what was done. Where Vercel Blob is configured they are stored there as files; where it is not, they are stored inline with the work record in Firestore. Either way they live with the ticket they belong to. Treat them as part of the work record. Do not upload images of children, IDs, or anything that does not belong in a maintenance file.

Payments

Card numbers never touch our servers. Checkout and subscriptions run on Stripe. Stripe collects the card, runs the 14-day trial, and charges the plan you picked. We store the subscription status, plan, and unit cap we need to run the product. See Stripe’s own policy for how they handle payment data.

Contact form

Name, email, optional company, optional unit count, and the message. Used only to answer you.

Site measurement

The site and the app load Vercel Web Analytics and Vercel Speed Insights on every page, including the public pages you can read without an account. Web Analytics counts page views and where visitors arrived from. Speed Insights records how fast pages loaded.

Both run without cookies. Neither is an advertising network, and neither follows you to other sites.

Logs and security

We keep server logs that can include IP address, time, and which path was hit. Used to keep the service up, catch abuse, and debug failures. Not used to build advertising profiles.

The contact form counts submissions per sender so one script cannot fill the inbox overnight. The sender’s IP address is hashed for that count and the address itself is not stored.

Cookies and local storage

Signed out, this site sets no cookies and writes nothing to your browser’s storage.

Signing in sets a session cookie. It is HttpOnly and Secure — script running on the page cannot read it — and its only job is to keep you signed in. Signing out clears it, along with the pages and data the app cached for offline use.

The app also keeps one marker in local storage recording that this device has signed in before. It holds no token and grants no access to anything; it exists so a technician opening the app with no signal sees their jobs instead of a login screen.

We use no advertising or cross-site tracking cookies.

What the app stores on the device

Because the field app has to work in a basement, a signed-in device keeps some of the company’s data locally:

  • Status changes and new requests made with no signal, held in the browser’s database until they send. Photos attached to them are held there too
  • Pages you have opened and the job data behind them, cached by the app’s service worker so a reload with no signal still shows your work

This is the company’s data sitting on somebody’s phone. Signing out deletes all of it — the queue, the cached pages, the cached reads and the marker above — so the next person to pick up a shared work phone does not inherit the last technician’s jobs. A manager handing a device to a new technician should sign out rather than just closing the app.

What we do not collect on purpose

  • No advertising or cross-site tracking pixels. The measurement named above counts page views and page speed, nothing else
  • No sale of personal information
  • No client-side database in the browser talking to Firestore — the app talks to our server
  • Tenant-texting / SMS intake is not offered for sale. If that changes, this policy will say so before it is turned on

Who can see what

Access is scoped by company and role.

  • A tenant sees only requests for their own unit
  • A field technician sees assigned jobs
  • Dispatch sees the queue, not billing
  • A manager sees the company, including billing

We (the operator) can access company data when we must: to fix an outage, to investigate abuse, to comply with law, or when a paying manager asks for help on their own account. We do not use one company’s tickets to sell to another company.

The manager of a company is responsible for the people they invite and for the tenant data they put in Nexus. If you are a tenant, the company that invited you is the one deciding why your request is there. Questions about a specific repair start with them.

Why we use the data

  • To run the product you signed up for
  • To bill the company’s plan
  • To answer support and contact-form mail
  • To keep accounts secure and the service online
  • To meet legal demands we cannot lawfully refuse

We do not sell lists. We do not rent tenant names to advertisers.

Processors

These companies process data for us so the product can run:

  • Vercel — hosts the app
  • Vercel Web Analytics — page-view counts for the site and app
  • Vercel Speed Insights — page performance timings
  • Google Cloud / Firebase (Firestore) — stores application data, server-side
  • Stripe — payments and subscriptions
  • Vercel Blob — photo files, where it is configured
  • Resend — transactional email when configured (for example sending an invoice)
  • Better Auth — session sign-in

Each of those has its own terms. If we add a processor that changes what you should expect, we will update this page.

Retention

  • A living company: data stays while the account is active
  • After cancellation: we keep records as long as we need them for billing disputes, tax, or legal holds, then delete or anonymize what we no longer need
  • Contact-form messages: kept while we are still dealing with the enquiry and for a reasonable period after, so we can pick up a thread you started months ago. Ask us and we will delete yours — there is no account to untangle it from
  • You may ask a manager to remove a tenant or crew account inside the product
  • You may email us to ask what we hold on you or to ask for deletion. If you are a tenant, we may have to route that through the company that invited you, because the work order is their record too

We do not promise instant erasure of backups that already exist. We do promise we will not keep an account open just to market to it.

Security

Passwords are hashed. Cards stay at Stripe. Database rules deny direct browser access to Firestore. That is not a guarantee that nothing will ever go wrong. No small operator can honestly promise “military-grade” anything. If we learn of a breach that affects you, we will notify the company’s manager at the email on the account and say what we know.

Children

Nexus is not directed at children under 13. Do not create an account for a child. Do not upload photos of minors as “the problem in the unit” if you can avoid it.

State and other rights

If you are a California resident, you can ask us what personal information we have, ask us to delete it, and ask us not to sell it. We do not sell it. Email the address above. We will need enough information to find the right account and to avoid handing your data to someone else.

If you are in the EEA or UK and somehow using this product, you can ask for access, correction, deletion, or a copy. The same email. Our beachhead is United States residential operators; we are not set up as an EU representative.

Changes

If we change this policy in a way that actually affects you, we will update the date at the top and, for material changes, email the manager address on file. Continued use after that date is acceptance of the new policy.
